How to Search Cases by Name
The Rutherford County Online Court Records System searches Party Name or Case Reference in one text box. Use a full first and last name when possible. The field accepts up to 100 characters, normalizes text to lower case, and removes non-spacing marks. Quotes request an exact phrase order. The portal considers the first ten words and offers limited typo tolerance for longer terms. Short names receive less help, so alternate spellings may be needed.
- Open the free county search and complete the Turnstile check.
- Enter the full party name without adding a year at first.
- Keep Circuit Court, General Sessions, and Clerk and Master selected unless the likely court is known.
- Choose Criminal, Civil, or both, then run the search and inspect matching case references.
| Field Label | Type | Required | Notes |
|---|---|---|---|
| Party Name / Case Reference | Text, 100 characters | No | Use a name, older reference, or quoted phrase. |
| Case Year | Four-character text | No | Means the original filing year. |
| Case Number | Text, 50 characters | No | Use the final numeric segment for a formatted number. |
| Court and Case Type | Checkboxes | Yes | Select a court-office combination and Civil, Criminal, or both. |
Rutherford County Portal Controls
The portal landing screen now points users to a free search. Rutherford County Circuit News says subscription logins ended after July 1, 2025. A Turnstile checkbox must be completed before Find Now activates. The official portal landing page also makes clear that this is an index service. It does not promise that every pleading or image is available online.
The manifest capture of that official screen shows the access point used for a Rutherford County case lookup.
The capture helps distinguish the current free route from obsolete references to paid subscriber access.
How to Search by Case Number
Copy a local number exactly before reducing it for the search form. For 75GS1-2023-CR-12345, the help instructions say to enter 12345 in Case Number. The year belongs in Case Year only when it is useful and certain. The visible CR and CV portions distinguish criminal and civil examples, but Rutherford County has not published a complete glossary for every segment. Do not reverse-engineer the rest.
Criteria compound. A wrong filing year or court checkbox can suppress the right case even when the numeric segment is correct. Start with the number and all likely offices. Add constraints only when the list is too broad.
Rutherford County Search Fields
The official search form places party or reference text before an OR divider and the case-number fields. All three court offices and both case types are checked at first. That arrangement supports a broad first pass.
The official form captured in the manifest shows the live field order and access gate.
The image confirms which controls narrow a Rutherford County case lookup before the result list appears.
What a Case Search Shows
A useful result identifies the court office, case number, case type, style or caption, filing year, party role, and available docket event. Public calendars can add the judge, courtroom, date, time, hearing type, counsel, and a note. Record these fields together. A result without a current setting does not prove that a matter was dismissed, paid, sealed, or closed.
| Case Number | The local identifier, such as 75GS1-2025-CV-376432. |
|---|---|
| Style / Parties | The caption and listed roles, with access limits where required. |
| Case Type | Civil or criminal plus the court office holding the index. |
| Setting | The displayed date, hearing label, judge, room, or note. |
| Record Depth | Index or calendar detail, not necessarily pleadings, orders, or judgment images. |
Rutherford County Result Limits
Results are sortable and limited to 2,500 rows. For a common surname, split the search by court type, case type, and then filing year. The Filter box works only across visible result columns and uses literal text. It is not a second search engine and does not offer the main search’s phrase handling or typo tolerance.
Broad result set: preserve the criteria and displayed count, then narrow one field at a time so a valid match is not screened out by several guesses.
County vs Statewide Case Search
Tennessee does not provide one statewide public search for every Rutherford trial-court case. The county portal covers Circuit, General Sessions, and Clerk and Master index discovery. Chancery publishes dated docket PDFs. The Tennessee Public Case History system covers appeals in the Supreme Court, Court of Appeals, and Court of Criminal Appeals after August 26, 2013. It is not a statewide trial docket.
| Statewide Portal | Rutherford County Portal |
|---|---|
| Tennessee appellate courts | Rutherford Circuit, General Sessions, and Clerk and Master |
| Appeal number, style, party, and appellate events | Local case reference, year, number, office, and case type |
| Best for a known appeal | Best for Rutherford trial-court index discovery |
If Rutherford Search Is Offline
Use the clerk channel that matches the court. Circuit Civil can be reached at 615-898-7820, Circuit Criminal at 615-898-7812, General Sessions Civil at 615-217-0069, and General Sessions Criminal at 615-898-7831. Their counters are routed through the Judicial Building at 116 West Lytle Street in Murfreesboro. Chancery docketing uses 615-217-0063. A written Tennessee Public Records Act request may be appropriate when the desired existing record is identified.
Mail or in-person requests should name the court, case number, caption, document, and date. Ask whether inspection, a plain copy, or a certified copy is needed. A portal printout is not clerk certification.
Restricted Cases and Access Rules
Tennessee Supreme Court Rule 34 makes court records open for inspection unless law or another court rule supplies an exception. Sealed and expunged matters may not appear. Juvenile records have stronger limits, and the adult portal should not be assumed to expose them.
A missing result has several possible causes: the wrong court, a transferred or reopened matter, a city citation, a Chancery calendar route, spelling, or restricted access. Try the opposite party and alternate office before drawing a conclusion. Only the proper court can decide whether access to a restricted record is allowed.
Verifying a Rutherford Case Match
Do not choose a result from the name alone. Compare the case number, court office, case type, style, filing year, party role, counsel, and last visible event. Common names can produce many rows, while restrictive criteria can hide the correct one. Preserve the search terms, access date, and displayed result count. Then narrow by one reliable field at a time rather than adding several guesses at once.
The county search help says quoted text requests exact phrase order and longer words receive limited typo tolerance. “Match all search terms” normally requires every term, though the system may remove terms from the end when too few results are returned. The result-table Filter is literal and checks visible columns in real time. It cannot substitute for a fresh search with different court or case-type choices.
A Rutherford trial-court match should be verified with the holding clerk when the result will guide a filing, appearance, or copy order. The Judicial Building at 116 West Lytle Street serves the main Circuit and General Sessions counters. Chancery is in Suite 5101 at that address. Mail, phone, and in-person inspection are valid fallback channels when the public form is unavailable or only index-level detail appears.
Historical and appellate matters require different tools. Tennessee Public Case History covers appellate cases after August 26, 2013 and searches appeal number, style, or party. It is not a statewide trial-court database. Older Rutherford court records may be held by the County Archives, whose described series extend through different dates for Chancery, Circuit, probate, and other materials. The best case lookup therefore starts by identifying jurisdiction and time period before assuming one portal contains every record.
Rutherford Appeals Need State Search
The Tennessee Public Case History page explains the appellate system's scope and timing limits.

The captured state source belongs after a Rutherford trial-court lookup, not in place of the county case record.
Use the appeal number, case style, party, or organization on the separate appellate form. Then trace the result back to the Rutherford County trial number shown in an order or opinion. The appellate history can include motions, orders, judgments, and opinions, but it does not reproduce every document held by the trial clerk.
